A rolodex is basically a collection of information that can be easily sorted. Computers do this using an application called a database. A database is like a computer version of a rolodex (only much more flexible). Instead of paper cards, a database consists of records (eg. one for each person you know). Each record contains different types of information (eg. name, address, phone number); each of these type of data is contained in a field .
You can use Address Book (which is a type of database).
open Address Book
click on the name of a group (All, Family, Business, whatever)
click on the name of person in that group
select/highlight the names of the people whose addresses you wish to print out (to
select adjacent names, hold down the Shift key and click names; to select non-adjacent names, hold down the Command (i.e. Apple) key & click names)
go to File > Print
the Print window opens; go to Style > Mailing Labels
make sure Page shows "Avery Standard"
choose correct number for Avery label (5159, 5260, whatever); if you don't know the correct number, choose Define Custom, give the layout a name and type in the correct measurements)
make sure that your Avery (or similar) label sheet is inserted into the printer the correct way, and that the printer is turned on
click Print
This is the easiest way to print out labels (provided you have OS X); however, it does NOT show the country of the recipient.
Using Appleworks (or Clarisworks):
open Appleworks
if you already have created a database of your friends' addresses, locate it, open it , and go to 3(b); otherwise continue as follows:
open a new database document (eg. File > New > Database)
Define Database Fields window opens; it asks you to name each field
type in a field name (such as Name, Street address, or City) and click Create
type another field name and click Create; when you have created all the field names you need, click Done
now your database has all its fields , but no records ; you need to start entering the names and addresses of people you want to include in your database; enter information in each field (move from one field to the next either by moving the mouse and clicking, or by pressing the tab key on the keyboard)
when you have finished filling in all the fields, hold down the command (apple) key and press the letter R on the keyboard; this creates a new empty record
fill in the information for this record, then press command + R; this creates a new record
continue until you have created as many records as you want; then save (command+S); give your database a name (eg. Xmas list)
remember where you saved it (i.e. in which folder)!!
if it is not already open (as in 3(a) above), find your Appleworks database document and open it
go to Layout > New Label Layout
the Create Labels Assistant will open; click Next
if you know your Avery label number, click Next (if you don't know it, choose Create custom labels & have a ruler handy to measure the size of each label and the margins, then follow the computer's instructions )
select the correct Avery label number & click Next
choose how many lines of text you want on each label & click Next
for Line 1, click on the first "menu" of fields ; then add any spaces and punctuation that you want in the small square boxes
do the same for each line, and when finished click Next
choose the font (Times, Georgia, Helvetica, etc.), size (10 point, 12 point, etc.), and style (plain, bold, italic, etc.) you want for your labels & click Next
give the label layout you've just created a name (Xmas List Labels, Best Friends' Labels, etc.) & click Next; then click Create
you will see your records laid out in the arrangement you have just requested; make sure your sheet of labels is correctly inserted into the printer, and that the printer is turned on, and print them
