Office Timer- An application for consultants, designers, and other professionals who need to charge clients by the amount of time spent on a particular task.

Office Timer stores up to eight client names and three charging rates. All you do is choose the client from the buttons on the Timer window, then the rate, and then press the Start button. When you're done, click on the Stop button, and the time spent on that task (rounded up to the nearest minute) is copied across to the Log window, along with the client's name, the charging rate, when you started, and when you finished. It also calculates how much you need to charge that client.

I've created this program for my own specific needs, but have made it available to other computer users in the hope that it may be useful.

Creating your default settings

Go to the Clients panel, and add up to 8 client names (10 characters each) and then press Save button. Be sure and save the Clients.txt file in the OfficeTimer folder. Go to the Charge panel, and add up to 3 charging rates (per minute) and then press Save button. Again, be sure and save the Charges.txt file in the OfficeTimer folder. OfficeTimer will now automatically load you client names and charging rates each time it launches.

Using OfficeTimer

Opens to Timer panel. Select a Client and a Rate. Then press Start. You can now get on with the work for that client. OfficeTimer uses minimal resources (on my Mac, between 0.7 and 1.3% of the CPU time) so it shouldn't interfere with your other programs. Once you are done, press Stop.

Office Timer will now automatically copy the results to the Log panel. Press Clear to reset (but note previous results in Log remain safe).

Pausing

If you need to put the timer on pause, for example to go for lunch, press the Pause button. Once you're back, press the Resume button. You can do this as often as you require. Office Timer will keep a track of all these pauses, add them together, and then deduct them from the time it was running, to give you an accurate measurement of the amount of time you were actually working.

Log

This is the automatic running log of the data from the Timer. It can be copied, dragged to the desktop, or saved as a text file. Because it uses carriage returns to separate lines, it can easily be imported into Excel for accounting purposes. Each log entry is as follows:

  • Client name
  • Charging rate
  • Time started
  • Time finished
  • Duration in minutes (rounded up)
  • Charge (duration multiplied by charging rate)

Clients

These are the client names. Up to 8 can be used. Add the names (up to 10 characters) in the boxes. Click on Save to save them as a text file. These will be loaded automatically when you launch the application. You can also edited this text file directly if you want. The Use button carries new names to the Timer panel but does not save them (i.e. they vanish after you quit). Load button loads the Clients.txt text file; this is only necessary if you have a duplicate client file you want to use that isn't in the OfficeTimer folder. Only a Clients.txt file in the OfficeTimer folder is loaded automatically at launch.

Charge

This is for charging rates. It handles up to three, per-minute charging rates. These are loaded up from the Charges.txt file when the application is launched. Load, Use, and Save work as with the Clients panel.

Bugs

For whatever reason, the Save buttons on the Log, Clients, and Charges panels are rather slow. They work fine, but just take a second or two to spring into life.
