Terms and Conditions and Privacy Policy
By using the “London Showreels” website www.londonshowreels.co.uk , you are agreeing to the terms and conditions below. The Client is advised to make a copy of this and the forms they submit to “London Showreels” for their own records.
Definitions
“You” means the user of the Site, “We/us” means London Showreels, “website” or “site” means the site located at www.londonshowreels.co.uk on the World Wide Web, “Content” means the information and other material available within the site.

1. Guide to process of making products
The process of making the showreels are:
a.) You choose the packages and services you require and fill out the Client Quote form on the contacts page of the site and send this onto sales@londonshowreels.co.uk
b.) We then e-mail you back with a quote which includes the price for the service, postage and packaging. The e-mail will also have the Client Information Form, the Showreel Clip Detail Form and the Updating Form (if this service is requested) attached for you to complete.
c.) When you have chosen the services you require, fill in the appropriate forms and send them to us, along with a cheque for the amount quoted in our e-mail to you (made payable to Elene Hadjidaniel) and all the materials you have with your films on that you want to include in your showreel edit. (These materials must be CLEARLY labelled.) You must also include any permission and cleared copyright documents. Once we have received your items, we will send you an e-mail confirming their arrival.
d.) When the showreels are finished and your cheque has cleared, your 10 DVDs together with all your materials will be sent to you. Please allow up to 14 days for delivery starting from when our item arrival confirmation e-mail is sent to you. This period may be extended subject to demand. We shall inform you if this is so.
2. Products
a.) Our showreels are made for PAL standard 4:3 ratio. If your require another standard (i.e. NTSC or Widescreen) please specify.
b.) All materials you send to be included for edit in the showreel must be supplied on DVD, VHS tape or Mini-DV.
c.) We cannot process your order unless the forms are clearly filled out with accompanying payment, signature, materials for inclusion (supplied on DVDs, VHS Tapes and/or Mini DVs) and all relevant permissions for each inclusion to the showreel. It is very important that you label anything you send to us and that you fully understand copyright implications.
d.) PLEASE NOTE: Conversion results in a third generation copy. If the original DVD/VHS/Mini-DV/Headshot photo is of poor quality, conversion/scanning will not improve it. Therefore we cannot make assurances as to the production standard of the final showreel or other visuals where the source is from such a conversion.
e.) We have a policy of storing your downloaded sources and showreel package templates on our systems for 12 months from date of order completion. This is for the sole purpose of supplying updated and future new edits/showreel copies to you and for no other reason. Once the 12 months have expired and you require another showreel that needs updating, this will then be considered as a brand new order with the original package and additional services (if required) costs.
3. Copyright
a.) For every clip that you want to include in your showreel, you must have written permission to use it and send a copy of these documents to us.
b.) For every piece of music that you wish to use for your showreel, even if it created by you, you must have written permission to use it, or state that it is of your own work and have a copy of these documents sent to us.
c.) Without the relevant cleared copyright/permission documents accompanying the relevant material, we cannot include these on the completed showreel.
d.) Music chosen by the editor for your showreels has cleared copyright and permission to use the tracks for showreel purposes only. The composer Rob Stroh grants permission to us the right to use the music and sound recordings provided by him for use in the production of promotional showreels only. This agreement applies throughout the whole world and lasts in perpetuity. This is a non-exclusive agreement and all rights in the music and sound recording remain the property of the composer. The composer affirms that the music is his original work and does not infringe any other copyright and that he is the owner of the copyright in the sound recording. If you decide for the editor to choose the music for your showreel, we will send you 3 short examples of music to choose from.
e.) We retain ownership of all created sources we produce on our website – our logo, our font, our designs and all our content. These cannot be used for any external purposes whatsoever without written permission by us. You agree not to (or to facilitate any third party to) copy, transmit, distribute, publish, commercially exploit or imitate the content without prior written permission from us.
f.) We retain ownership of all created sources we produce for your orders - DVD masters, label designs. Every DVD sent to you cannot be copied. Therefore it is not permitted to make your own copies of the showreels that we make for you. If you require more copies, then you must contact us and request further copies.
4. Payment
a.) All cheques must be signed and made payable to Elene Hadjidaniel and must have the amount written as the quote in our e-mail to you. (This covers the service charge, postage and packaging.)
b.) We can only deliver your order once your cheque has been cleared.
5. Delivery
a.) All clearly labeled items, forms and copyright/permission documents must be sent to:

b.) When you have sent us your items, forms and documents, we shall send you an e-mail confirming their arrival.
c.) Please allow up to 14 days for delivery starting from when our item arrival confirmation e-mail is sent to you. This period may extend subject to demand. We shall inform you if this is so.
d.) Your showreels and materials will be sent to you as recorded delivery.
6. Loss and damage
a.) We are not liable for any loss or damage whatsoever regarding your materials being sent to us or from us to you. We shall notify you if any of your materials are damaged or lost or cannot be used for the edit.
b.) As stated in Section 2.d, conversion results in a third generation copy does not guarantee a high quality picture. If the original DVD/VHS/Mini-DV/Headshot photo is of poor quality, conversion/scanning will not improve it. Therefore we cannot make assurances as to the production standard of the final showreel or other visuals where the source is from such a conversion.
c.) We are not liable for an item (a VHS Tape, DVD and or Mini-DV) if it is damaged in the process of playing. Our systems are regularly checked and updated, but we cannot guarantee that your material formats will function normally. Again, we shall notify you if this is such a case, but we do advise you to make copies of your materials for your own safe keeping. We advise this also if you insist of having any particular clips that you have sent to us included beforehand for your showreel that have failed to work on our systems.
7. Clients under 18 years old
a.) For clients who are under 18 years old, we require permission in writing by a parent or guardian for consent in making a showreel and for holding their personal details for professional and business purposes only.
8. Privacy Policy
This Privacy Policy is part of our Terms and Conditions and must be complied with when using our services.
a.) Your personal information, such as your name, address, e-mail address and telephone number, will be kept on record on our premises and will not be given to any other person, company or website. We will take reasonable precautions to ensure that all information that you have submitted remains confidential.
b.) We keep your information on record for these reasons:
• To fulfill your service requirements and orders for products
• For invoice purposes
• To answer your enquiries or otherwise communicate with you
• For any future business with you
• For feedback purposes (this could be for feedback after your order has been completed and sent to you to find out how happy you were with our service. We may even ask you permission to use part or all of your statement for our promotional material and website.)
c.) We reserve the right to release your details when we believe the release is appropriate in order to comply with the law, or to enforce our Terms and Conditions, or to protect the rights, property, or safety of ourselves and our customers. If you post or send offensive, inappropriate or objectionable content to us or otherwise engage in any disruptive behaviour on our site, we will use whatever information that is available to us about you to stop such behaviour.
d.) We will archive your personal information and material on our systems for 12 months from the start of your order. If you require us not to do this, then please state this on the Client Information Form. If this is the case, then once we have received confirmation from you that you are satisfied with your purchase, we shall remove your details and materials from our systems. We shall however keep our own copy of your showreel in our archives.
e.) If you decide to keep your information and materials on our systems and the 12 months expiration date is approaching, we shall notify you of this one month in advance of that expiration date. If you place an order with us beyond the expiration date requiring an updating service, then we shall consider this as a brand new order and charge you at the original package and additional service (if required) prices.
9. Website and Contact Details
a.) With the availability of the site, it is technically impossible to provide the site and its e-mail services free of faults and that we do not undertake to do so. Faults may lead to temporary unavailability of the site and related e-mail services. The operation of the site and related e-mail services may be adversely affected by conditions and performances outside our control, including, without limitation, transmission and telecommunications links between us and you and between us and other systems and networks.
b.) We may provide links to other websites. We are not responsible for the availability of such external sites, and do not endorse and are not responsible or liable for any content, advertising, products, services or other materials on or available from such sites.
c.) We are not responsible for any incorrect connections via links from other websites and third party sites/companies that may lead to another website or content that is not our own.
d.) With the use of the site, you undertake:
• not to use the content or e-mail services for any unlawful purpose;
• that you shall not make any use of the site or e-mail services such that the whole or part of the site is interrupted, damaged, rendered less efficient, or the effectiveness or functionality of the site is in any way impaired;
• not to use the site or its e-mail services for the transmission or posting of any computer viruses or any material which is defamatory, offensive or of an obscene or menacing character, or in such a way as to cause annoyance, inconvenience or needless anxiety.

10. Changes to Terms and Conditions
We reserve the right to change these terms and conditions from time to time. By continuing to use the site following such change, you will be deemed to have accepted such change. It is your responsibility to check regularly to determine whether these terms and conditions have been changed. If you do not agree to any such change you must immediately stop using the site. These terms and conditions are on our website and are sent along with the forms that are attached to our quote e-mails.
11. Entire agreement
These terms and conditions (as amended from time to time) together with any document expressly referred to in them comprise the entire agreement between you and us.
