Security Committee Timeline
As Early as Possible
- Begin putting together a security committee.
About Six Months Before ANP
- Work with the Steering Committee to develop the ANP security policies and procedures.
- Begin formulating plans for check-in procedures and facility layout.
About Three Months Before ANPE
- Obtain a copy of the ANP policies and procedures from the Executive Committee.
- Begin formulating a packet of materials to be given to each security volunteer.
- Coordinate with the volunteer coordinator to obtain security volunteers.
About Two Months Before ANP
- Plan an evacuation route with the help of the Steering Committee. Draw up detailed maps of the route and ensure they are available at designated locations in case of an evacuation.
- Identify required certified personnel (such as medical and special security personnel).
- Obtain emergency numbers (such as fire, ambulance, police).
- Coordinate attendance of school personnel to be at the party entrance to help identify graduates in case there are questions.
About One Month Before ANP
- Finalize information to be given to security volunteers. Include work time and station, party layout map, ANP policies, procedures for irregularities, identify name of their supervisor, check in entrance location, emergency phone numbers at ANP, and who to immediately contact if they are unable to attend.
- Coordinate with food committee to have food and beverages served to the security volunteers who cannot leave their assigned location.
- Arrange a backup volunteer for them to have a break to use the restrooms, etc.
Two Weeks Before ANP
- Double-check the security plan. Reconfirm arrangements with key personnel.
- Make sure all security volunteers have received the information packet.
THE DAY OF GRAD NITE
- Conduct a thorough search of all areas (including restrooms, locker rooms, etc), where alcohol or drugs could be hidden. Remove and dispose of anything found. You cannot be too thorough in this search (Check under toilet tanks, inside paper towel and tissue dispensers, etc.).
At All-Night Party
- Arrive early to handle any last minute problems. Be prepared for the arrival of the first group of volunteers and seniors.
- Ensure security volunteers are available at each exit door, party perimeter, and fire alarms.
- Periodically check with volunteer security personnel who are not allowed to leave their area to see if they need anything to eat or drink.
- Remind all committee members to SMILE. This should be a fun night. If the volunteers look mean and grouchy, it will put a damper on the ANP.
- Have a good time and enjoy ANP.
After ANP
- Stay until the last graduates and volunteers have gone.
- Give a list of graduates who checked out early to the ANP Chairperson.
- Issue checks to hired security personnel (if applicable).
The Week Following ANP
- Submit a security report to ANP Chairperson
- Ensure all bills have been paid.
