Food Committee Timeline
As Early As Possible
- Submit paperwork to use school kitchen and other areas (if applicable). Does your school require you to pay for a school kitchen employee while you are using the kitchen area?
- Decide on the types of food to be served.
- Determine which items will be purchased and which will be requested as donations from local restaurants and businesses.
- Submit a food budget for approval.
- Organize and begin meeting regularly with the food committee.
- Locate food preparation equipment and decide which items need to be purchased, rented, borrowed or made.
About Six Months Before ANP
- Finalize the menu and continue working with the donation committee for food items.
- Coordinate plans with decorations committee.
About Three Months Before ANP
- Break down each food item to determine what you need to prepare it, cook it, and serve it.
- If you are using the school kitchen, meet with the kitchen supervisor to go over your menu, the layout of the kitchen, what equipment you are allowed to use and discuss the need for school personnel in the kitchen while you are using it.
- Decide on how to handle food items that will be donated.
About Two Months Before ANP
- Assign volunteers to prepare the food, serve it and clean up the eating area.
- Ensure you have food for the volunteers and vendors (if applicable).
- Make arrangements for items that will be left over.
About One Month Before ANP
- Reconfirm all arrangements for food, supplies, donations and equipment.
- Make changes in the food budget based on expected donations and attendance.
- Reconfirm your volunteers for the night of ANP. Recruit additional volunteers as needed.
- Arrange to have someone available to receive food deliveries the day of the ANP.
Two Weeks Before ANP
- Ensure you have proper equipment to handle the food such as gloves for volunteers, trash bags for clean-up, paper towels, towels, soap, etc.
The Week of ANP
- Reconfirm donated items that must be picked up the day or evening of ANP. Ensure to confirm exact time and place of pickup and what is being donated.
- Confirm the arrangements for excess food - who will receive it, when will they receive it and how they will receive it.
- Purchase perishable items that are not donated.
Day of All-Night Party
- Set up the food equipment.
- Organize the kitchen area with the help of school personnel (if applicable).
- Make snacks available for Decorations and Set-up crew.
- Prepare to receive all donated items and store them properly.
- Display the work assignments for all volunteers
- Start preparing food items such as fruit and veggie trays.
At All-Night Party
- Food committee chairpersons should arrive early to handle last minute tasks and be prepared for volunteers and the first graduates.
- Prepare and serve food.
- Keep eating areas cleaned up.
- Have Fun!!
After ANP
- Pack up and store food preparation and cooking items for the following year.
- Ensure the clean-up committee is aware of equipment that is to returned (whether borrowed or rented) or stored.
- Pack up left over food, making sure the items are properly handled (i.e. refrigerated until delivered, etc.). Ensure the donated food items are delivered to the local food bank.
- Make sure the kitchen area is properly cleaned before leaving.
- Thank all of the cleanup volunteers and the school personnel.
The Week Following ANP
- Send a Thank You note to the School District Kitchen Supervisor (if applicable).
- Check to ensure all bills have been paid for food items and the school kitchen personnel.
- Submit a report to the Steering Committee Chairperson
- Recruit a Food Chairperson for next years ANP.
